Welcome to Join Mongolia Tours (operated by Eva Tour LLC, “Company,” “we,” “us,” or “our”). These Terms of Service (“Terms”) form a binding agreement between you and Join Mongolia Tours.

By booking a tour, making a payment, or using our website:

you agree to these Terms.


1. Booking & Payment

1.1 Booking Confirmation

Most multi-day join-in tours require:

  • 30% deposit to secure your seat
  • Remaining balance due before departure

Bookings made within 60 days of departure require full payment at booking.

Your seat on a fixed-departure tour is confirmed only after payment is received.


1.2 Payment Methods

We accept:

  • Credit / Debit Cards
  • Stripe
  • PayPal
  • Bank Transfer (when arranged)

All prices are listed in:

USD (United States Dollars) unless otherwise stated.

Your bank or card provider may apply:

  • Currency conversion fees
  • Processing charges

These are outside our control.


1.3 Booking Confirmation Email

After successful payment, you will receive:

  • Booking confirmation email
  • Invoice details

If you do not receive confirmation within:

2. Cancellations & Refunds

2.1 Cancellation by Traveler

To secure participation in a tour, a 30% deposit is required at the time of booking.

This deposit is used to reserve availability and prepare services in advance. Third-party services such as accommodations, domestic flights, festival tickets, transportation, and local supplier services are typically confirmed approximately 60 days before departure, after which many services become non-refundable.

Cancellation fees are based on the following notice periods:

60+ days before arrival:
The 30% deposit may be refunded, minus any confirmed non-refundable third-party costs (if already incurred).

30–59 days before arrival:
The deposit remains non-refundable. Up to 50% of the remaining balance paid may be refunded, minus confirmed non-refundable third-party costs.

Less than 30 days before arrival:
No refund will be issued.

No-show:
No refund will be issued.

Refunds, when applicable, are calculated based on:

  • Confirmed non-refundable third-party costs
  • Administrative or payment processing fees
  • Applicable cancellation period

The deposit represents a reservation and administrative fee required to secure limited availability services and becomes non-refundable once third-party services have been confirmed (typically 60 days before departure).


2.2 Cancellation by Company

If we cancel a tour due to:

  • Severe weather
  • Safety risks
  • Government restrictions
  • Operational issues

You may choose:

  • Full refund
    OR
  • Reschedule to another departure date

2.3 Force Majeure

Force majeure includes:

  • Natural disasters
  • Political unrest
  • Pandemic events
  • Border closures
  • Extreme weather

If such events significantly affect travel:

Either party may cancel.

Travelers are entitled to:

Full refund within 14 days

This does not cover:

  • Flights
  • Visa costs
  • Insurance
  • Personal expenses

2.4 Unused Services

No refunds are given for:

  • Unused services
  • Early departure
  • Missed activities

Any additional costs caused by early departure are your responsibility.


2.5 Refund Timing

Approved refunds are processed:

Within 7–10 business days

Processing times from banks or payment providers may vary.


2.6 Chargebacks

If an issue arises:

Please contact us first.

Filing chargebacks without contacting us may:

  • Delay refunds
  • Complicate resolution

3. Changes & Modifications

3.1 Changes by Traveler

Minor changes may be requested:

Up to 40 days before departure

Subject to:

  • Availability
  • Price differences

Last-minute changes:

May not be possible.


3.2 Changes by Company

We may adjust itineraries due to:

  • Weather conditions
  • Road conditions
  • Safety requirements
  • Local circumstances

We will provide comparable alternatives whenever possible.


3.3 Transfer to Another Traveler

You may transfer your booking to another eligible traveler:

Up to 7 days before departure

Additional fees may apply.


4. Travel Insurance

We strongly recommend purchasing travel insurance covering:

  • Trip cancellation
  • Medical emergencies
  • Evacuation
  • Lost baggage
  • Travel delays

Travel insurance is not included in tour price unless stated.


5. Join-In Tour Participation

Join-in tours involve:

  • Shared vehicles
  • Shared accommodations
  • Group-based schedules

Participants agree to:

  • Follow group schedules
  • Respect other travelers
  • Cooperate with guides

Private arrangements may be available at additional cost.


6. Eligibility, Minors & Conduct

6.1 Eligibility

You are responsible for ensuring:

  • You meet physical requirements
  • You are legally allowed to travel

6.2 Minors

Guests under 18 years must:

  • Travel with parent or guardian

Some activities may have:

  • Age restrictions
  • Safety requirements

6.3 Conduct

Travelers must:

  • Follow guide instructions
  • Respect local customs
  • Respect wildlife
  • Follow safety rules

We reserve the right to remove participants who:

  • Behave dangerously
  • Disrupt group safety
  • Violate laws

Removal may occur:

Without refund


7. Health, Fitness & Safety

7.1 Medical Disclosure

You must inform us of:

  • Medical conditions
  • Dietary restrictions
  • Mobility concerns

Before the tour begins.


7.2 Assumption of Risk

Adventure travel includes:

  • Physical activities
  • Remote travel
  • Changing conditions

Participation is at your own risk.


7.3 Guide Authority

Guides may refuse participation in activities if:

Safety could be compromised.


8. Third-Party Services

Some services are provided by third parties:

Examples:

  • Hotels
  • Ger camps
  • Transport providers
  • Local operators

We are not responsible for third-party actions beyond reasonable control.


9. Visas, Passports & Entry Requirements

Travelers are responsible for:

  • Valid passport
  • Visa requirements
  • Entry regulations
  • Vaccination rules

We are not liable for:

Denied entry due to documentation issues.


10. Pricing, Inclusions & Exclusions

10.1 What’s Included

Tour inclusions are listed:

  • On the tour page
  • In your itinerary
  • On your invoice

10.2 What’s Not Included

Unless stated otherwise:

Not included:

  • International flights
  • Travel insurance
  • Visa fees
  • Personal expenses
  • Tips
  • Optional activities

11. Intellectual Property

All website materials including:

  • Text
  • Images
  • Logos
  • Designs

Are the property of:

EVA TOUR LLC

Unauthorized use is prohibited.


12. Liability Limitations

To the maximum extent allowed by law:

We are not liable for:

  • Missed flights
  • Lost profits
  • Indirect damages
  • Consequential losses

12.1 Consumer Rights

Nothing in these Terms limits rights protected by law.


13. Privacy & Data Protection

We process personal data to:

  • Manage bookings
  • Provide services

Payment data is securely processed by:

  • Stripe
  • PayPal
